Vendor Terms & Conditions

PITCH 

A standard pitch is 3m x 3m.  You must provide your own gazebo and table, If you do not have your own gazebo/tanle and need to hire  one through our event, please include this request on your vendor application.  We do not provide electricity or wifi. You can choose the size of your pitch on your application form. 

PITCH LOCATION

Your pitch will be in the Fantasy market area. This is outside on the grounds of West Wycombe Park. Your pitch will be on a hard standing. More about the venue here.

PRICING

Single Pitch 3 x 3m : £145 includes entry for 2 people and parking for 1 Vehicle

Double Pitch 3 x 6m £245 includes entry for 3 people and parking for 2 Vehicles

Table hire: £15*

Gazebo Hire: £20.00*

WHAT DOES A VENDOR PASS GIVE ME ACCESS TO?

A vendor pass gives you access to the two day main event but NOT the Saturday evening Masked Ball. At the main event you will be able to access all exhibits, meet the special guests, watch and/or take part in the Cosplay competition, watch the talks and take part in any of the free workshops. 

MASKED BALL 

If you are trading/exhibiting with us and you would also like to attend the Masked Ball we can offer 20% off a Crystal Ball passes limited to 2 passes per pitch. 

PARKING

You cannot park next to your pitch but you may drop off items and then park in the main onsite car park. Parking is included in the pitch fee as above. Additional parking passes are available to purchase for £5.00 

WHAT CAN I SELL?

Anything you think is appropriate for a fantasy market. We like variety :) 

WHAT HAPPENS AFTER I APPLY?

We aim to confirm your spot within 7 days with an email. We will then send out a 30 day invoice. If you need longer or would like to pay in instalments, not a problem! Just reply to the email to let us know.  

GENERAL TERMS OF USE 

All Vendors & Artists must have their own insurance. All Vendors and Artists are responsible for making sure their area is clean, tidy and free from hazards. All rubbish must go in the bins provided. We reserve the right to remove any one from the event if we feel they are acting in a way that is inappropriate or harmful to others. You can cancel your pitch up to 12 weeks before the event and receive a 50% refund. Any later and we will not be able to cancel you booking and refund you. 

ACCESSABILITY 

The Park is partially accessible to wheelchairs, but please be aware there are greenways, slopes, steps and various areas of water, including a lake, plus a cascade and bridges. Portable disabled toilet with ramp is provided. Mobile phone reception is poor in some areas.
